01Who we are
Remark Plus ("Remark Plus", "we", "us" or "our") is a finance consultancy based in Malabe, Sri Lanka. We provide finance operations, Virtual CFO, outsourced finance, shared services, process excellence and taxation services to businesses in Sri Lanka and overseas.
We are responsible for the personal information described in this policy. We handle it in line with the Personal Data Protection Act, No. 9 of 2022 of Sri Lanka and, where they apply to you, the data protection laws of the country you are in.
02Information we collect
When you send us an enquiry through this website we collect the details you enter, which may include:
- Your name, company name, email address and phone number
- The service you are interested in, your business stage and your main challenge
- Anything you write in the message field
When you become a client, we also receive the business and financial information needed to deliver the agreed services. This may include personal information about your staff, customers or suppliers contained in accounting, payroll or tax records.
When you visit the website, our hosting server automatically records basic technical information such as your IP address, browser type, the pages you request and the date and time of your visit. This is used to keep the site running and secure.
03How we use your information
- To reply to your enquiry and arrange a consultation
- To understand your needs and recommend a suitable service
- To prepare proposals and engagement agreements
- To deliver the services you engage us for, including reporting, payroll, tax filings and liaison with authorities such as the Inland Revenue Department
- To manage our relationship with you, including invoicing and record keeping
- To keep this website secure and protect it from misuse
- To meet our legal, regulatory and professional obligations
We do not use your information for automated decision-making, and we do not send marketing emails unless you have asked to receive them.
04Our reasons for using your information
We only use personal information where we have a lawful reason to do so. Depending on the situation, this is because:
- You have given your consent, for example by submitting an enquiry
- It is needed to enter into or perform a contract with you
- We must comply with a legal obligation, such as tax or record-keeping requirements
- It is in our legitimate interests to run and protect our business, and those interests are not outweighed by your rights
05Who we share it with
We do not sell or rent personal information. We only share it where needed, with:
- Service providers who help us operate, such as our website host, email provider and accounting or cloud software providers
- Members of our team, including remote team members who work on your engagement under confidentiality obligations
- Government bodies and regulators, such as the Inland Revenue Department, when filing or corresponding on your behalf with your instruction
- Professional advisers such as auditors, lawyers or insurers, where reasonably necessary
- Authorities, where the law requires us to disclose it
Anyone we share information with is required to keep it confidential and use it only for the purpose we provided it for.
06International transfers
We support clients in several countries, and some of our service providers store data outside Sri Lanka. Where personal information is transferred across borders, we take reasonable steps to ensure it is protected to a standard consistent with this policy and with applicable law.
07How long we keep it
We keep enquiry details for up to two years if no engagement follows, so we can refer back to earlier conversations. Client records are kept for as long as the engagement lasts and afterwards for the period required by tax, company and other applicable laws. When information is no longer needed, we delete it or make it anonymous.
08How we protect it
We use appropriate technical and organisational measures to protect personal information, including access controls, confidentiality agreements, secure file handling and limiting access to those who need it. The website contact form is protected against automated misuse. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security.
09Cookies
This website uses a single essential session cookie to keep the contact form secure. It does not store personal information and is deleted when you close your browser.
We do not use advertising or tracking cookies. The site loads fonts from Google Fonts, which means your browser connects to Google's servers and shares your IP address with Google when a page loads.
10Your rights
Subject to applicable law, you can ask us to:
- Confirm whether we hold personal information about you and provide a copy
- Correct information that is inaccurate or incomplete
- Delete information we no longer have a valid reason to keep
- Restrict or object to how we use your information
- Withdraw consent you have given, without affecting earlier processing
To make a request, email us at info@remarkplusconsultancy.com. We may need to confirm your identity before acting on it, and we will respond within the time required by law. If you are not satisfied with our response, you may complain to the Data Protection Authority of Sri Lanka or the data protection authority in your country.
